#2 Employee Database

The Employee Database is automatically populated when Cosmos is installed. It includes all Confluence users with a valid license, and optionally guest users. Any changes, such as new users or license updates, are automatically reflected in the database.

When generating the employee database, we fetch users' Names and Emails for initial recognition. However, for your privacy:

  1. We do not store this data on our end.

  2. While emails are fetched, they are never stored in our system.

  3. Real names are not processed; instead, we use user IDs, which are strings of random, unidentifiable digits and letters.

The Employee Database is more than a place to store user information — it powers essential features across the entire Cosmos intranet. Here’s how its data is used:

  • People Network: All Employee Database fields are available for filtering and searching, helping users easily find colleagues based on roles, departments, or other details.

  • Collections: Fields can be used to group employees by shared attributes or skills, creating dynamic lists and personalized experiences.

  • User profiles: Every field can be displayed in user profiles, providing a complete and customizable view of each employee.
