#2 Sync Employee Database
At the heart of any successful intranet is its ability to connect and represent its users, the company employees. It's the key to making your intranet lively and useful. The Employee Database is the central piece of Cosmos which also allows you to create user profiles and modules such as upcoming birthdays, new starters, work anniversary etc. Overall, it is the engine that is powering the personalized experience of Cosmos.
While Cosmos offers a range of functionalities even without integrating the employee database, utilizing this feature activates the platform's core. It transforms your intranet from a simple information hub into a community space that reflects and supports your organizational structure and culture.
Steps to sync the Employee Database
From your Confluence navigation bar, access Cosmos by selecting it from the Apps dropdown.
Within Cosmos, proceed to the Settings area.
In the Settings menu, locate and click on Employee Database.
Press the sync button to start the synchronization process. Here, you will have the option to decide if you want to sync guest users as well. Make your selection based on your organization's needs.
Upon initiation, all Confluence users with an active license will be synced into the Cosmos employee database. Users with an inactive license will be ignored and not included in the employee database. This ensures that only current team members are visible and accounted for in your intranet.
After the sync is complete, take a moment to review the updated employee database in Cosmos. Ensure that all active users are correctly synced, and guest users are included as per your selection.
After synchronizing users, several default columns are established to provide a foundational structure. While "Name" and "Email" columns are fixed and cannot be deleted, all other columns are flexible. Default fields are: Short Bio, Location, Department, Superior, Entry date, Birthday, Expertise, Languages, Projects/Apps, Hobbies. Admins can modify or remove them based on specific organizational requirements.
Your data is secure with us. On our end, the users are represented by their user ID, a string of random and unidentifiable digits and letters. We don't store any personal data.
