#3 Fill the Employee Database

Keeping the Employee Database accurate and complete is essential to getting the most out of Cosmos. However, this can be challenging due to the amount of data and the need for regular updates. Currently, there are three main ways to add and manage data, with more options coming soon to make the process even easier.

#1 Manual Data Entry

HR or IT teams can enter employee information manually. While this method is straightforward, it can be time-consuming, especially for large organizations, since each record must be added individually. Copy-pasting helps a bit, but the process still requires careful attention to detail and can feel repetitive when data already exists in other systems.

#2 Profile Updates

Once the Employee Profile is set up, employees can fill in their own information, which automatically updates the Employee Database in real time. Admins can control which fields employees can edit and which remain read-only to ensure data accuracy for sensitive information such as department or manager. Most employees complete their details in just a few minutes, keeping the database accurate and reducing admin effort.

#3 Microsoft Entra ID Integration

Microsoft Entra ID (formerly Azure Active Directory) enables automatic syncing of user data between Cosmos and your organization’s directory. This ensures profiles are always accurate and up to date without manual effort.

Once connected, Cosmos uses a webhook to stay in sync with Entra ID in real time. Updates such as job title changes, department moves, or new hires appear instantly across the intranet — no manual refresh or re-sync needed.
