Product Statuses
Statuses in Shoppie represent the different stages a product (or an entire order) can move through as it is processed, for example, Pending Review, Approved, Completed, Declined, or Ordered. Statuses give both admins and agents a clear, visual way (color-coded labels) to track where each item stands in the fulfillment process.
Statuses are managed centrally under Statuses, which is split into two tabs:
All statuses: where individual statuses are created, edited, and deleted.
Schemas: where statuses are grouped into a scheme that defines how they can transition from one to another.
Statuses
Each status consists of:
Name: a short label describing the stage (e.g. "Pending Review", "Completed").
Color: one of the predefined color swatches, used to visually distinguish statuses at a glance across the catalog.
Statuses can be created via + Create status, and existing ones can be renamed, recolored, or removed (trash icon) directly from the All statuses list. Any status currently in use by a scheme cannot be safely deleted without first updating that scheme.
Schemes
A scheme is a named set of statuses along with the rules for how an item can move between them. Schemes let you define:
Can move to: which statuses each status is allowed to transition into next. This controls the valid workflow paths (e.g. Pending Review can move to Approved, Completed, Declined, or Ordered, but not backwards arbitrarily).
Initial: marks a status as a starting point when an item enters the workflow.
Pre-order: marks a status as belonging to the pre-order stage of the flow.
Completed: marks a status as a terminal/completed state.
New statuses can be added to a scheme via + Add existing status, and changes are persisted with Save scheme.
Default scheme
Every catalog in Shoppie has a scheme applied to it. By default, all catalogs use the Default scheme unless a different scheme has been explicitly assigned. This ensures that every new catalog immediately has a consistent, working status workflow without requiring manual setup.
A "Show legacy statuses" toggle is available on the Schemes tab to optionally surface older statuses that are no longer part of the active default configuration but may still exist on historical data.
Statuses in Agent View
Once configured, statuses are surfaced directly in Agent View (the Jira-based order ticket interface used by support/fulfillment agents). Each line item on an order — e.g. a laptop, dock, phone, webcam, or monitor — displays its current status as a colored badge (matching the color chosen in All statuses).
From Agent View, agents can:
See the status of each individual item within an order at a glance.
Update/move an item's status according to the transitions allowed by the scheme applied to that catalog (via the Can move to rules).
Take order-level actions, such as Approve order, which typically advances all items to their next allowed status in one step.
This means the statuses and transition rules configured centrally under Statuses → Schemes directly govern what actions and status changes agents are able to perform on live orders — keeping the admin-defined workflow and the agent-facing experience in sync.
Disable Product Statuses
Shoppie lets you disable custom statuses at the catalog level. When disabled, the catalog stops using its own status set and falls back to native Jira statuses instead.
Go to Catalog Settings → Statuses, and toggle Disable custom statuses off.
What happens when disabled:
Custom statuses are no longer shown in the Agent View.
Custom statuses are no longer shown in the Customer Portal.
The catalog automatically switches to using native Jira statuses in their place.
