#5 Fill the Employee Database
Keeping the Employee Database accurate and complete is key to getting the most out of Cosmos. But this can be challenging due to the large amount of data and the need to keep it updated. Right now, there are three main ways to add and manage data, with more options coming soon to make the process even easier.
Manual data entry: challenges and process
The first method for filling the Employee Database involves manual entry by HR or IT departments. This process can be particularly demanding for larger teams, as it requires inputting each piece of information individually. Although there are minor shortcuts like copy-pasting, it remains a time-intensive task, primarily when the data already exists in other formats or systems. This manual approach, while straightforward, demands significant effort and attention to detail.
Profile updates
The second method allows employees to enter their own information directly into their profiles. Since profiles are linked to the Employee Database, any updates are automatically reflected. Sharing a link to the profile page makes it easy to reach everyone, and most employees complete it in under 2 minutes, reducing admin work and keeping data current.
Microsoft Entra ID
Microsoft Entra ID is one of the first integrations added to the Cosmos Employee Database, driven by high demand from enterprise customers. This integration allows automatic syncing of user data, ensuring accurate and up-to-date profiles across the intranet.
Once connected, Cosmos uses a webhook to keep the Employee Database in sync with Entra ID in real time. Any changes in Entra ID, such as updates to job titles, departments, or new hires, are reflected instantly, without the need for manual updates or repeated syncing.
